Pharmacy distribution RFx: an event teardown
How one large East Coast health system ran a pharmacy distribution RFx in Talin — market work in minutes, ten weighted categories, weeks not months. Same facts as /case-study.
My name is Shae McEntire. I work for a sourcing software company called Talin.
This is not a second case study. It is the same pharmacy distribution event we already published, walked as an event teardown — what the team did, in order, and what stayed with the buyer.
The category
Pharmacy distribution for a large East Coast health system. Material spend. Service levels that matter operationally. Regulated lines in the mix — 340B, specialty and retail pharmacy, plasma and biologics.
A category like that cannot live in Word and email. Market mapping alone can take weeks. Responses arrive in mixed formats. The comparison has to be something leadership will stand behind.
What the team needed
They needed a clean read of the market first. Then a weighted score the organization would defend. Then a comparison they could take into selection — without spending months on the event.
Estimated savings identified on this event: $5M+. That figure is estimated / potential, not booked. Final supplier selection is still underway.
Eight steps. One event.
1. Stand up the event. One pharmacy distribution RFx in Talin. One project. One record. Not a folder of Word drafts.
2. Read the market. Market and supply-base analysis that usually takes weeks ran in minutes. The team saw the field before they wrote the first question.
3. Scope the RFx. Requirements and must-haves for this category — not a reused packet from last year.
4. Set the score. Ten weighted evaluation categories. The team set the weights. Talin held them so scoring was not rebuilt in a spreadsheet the night before leadership reviewed the field.
5. Issue the event. The RFx went out from the same project. Suppliers were invited to respond in the portal. Dual seat: buyers run the event; suppliers reply in the same product.
6. Collect responses in one place. Portal responses. No mixed PDFs across inboxes. No one rebuilding a comparison matrix from attachments.
7. Score against the framework. Responses against the ten categories the team had already weighted. Gaps were visible. The ranking is a ranking — the buyer still chooses the supplier.
8. Hand over a comparison. Decision-ready findings. End-to-end effort measured in weeks, not months. The analysis that used to take weeks was done in minutes.
The ten categories (same table as /case-study)
| Category | What was assessed | |---|---| | Company information & distribution strategy | Profile, network footprint, strategic fit | | Supply chain resiliency | Redundancy, contingency, continuity track record | | 340B program | Eligibility admin, split-billing accuracy, audit-readiness support | | Plasma/biologics distribution | Cold-chain, specialized handling, reliability | | Retail/specialty pharmacy distribution | Breadth, limited-distribution and high-cost therapies | | Technical capabilities & key metrics | Order accuracy, fill rates, integration, reporting | | Customer service support | Account management, responsiveness, escalation | | Contracting, compliance & risk | Contract structure, compliance history, risk provisions | | Pricing & commercial terms | Competitiveness, rebates, total cost of ownership | | Implementation timeline | Transition speed, structure, go-live risk mitigation |
